Measure open trays and paper paths
A printer does not fit a compartment merely because its closed width fits inside. Open the paper feed, output tray and access panels used for maintenance. On a multifunction model, the scanner lid also needs to open far enough. Measure this working condition and compare it with the proposed location.
Include the movements involved. Paper is loaded, printouts collected and consumables occasionally replaced. If the machine must be pulled out of a tight shelf for every action, the location is unsuitable for routine use. With a heavy device, a small saving in space can turn into a cumbersome process.
Keep ventilation clear as instructed
Read the placement instructions for the particular model. Vents and specified clearances must not be obstructed by cabinet sides, fabric or paper stacks. An enclosed cupboard is not automatically suitable while the printer operates. The manufacturer's conditions matter, not simply whether a hole has been cut in the back panel.
Use a stable surface with adequate capacity. A small trolley must suit the weight and dimensions and should not roll away during operation. Cables need a route that avoids pinching and pulling on the machine. Test the arrangement with any cabinet door fully open as well as in its closed storage appearance.
Let frequency determine proximity
Someone printing several times daily needs a different position from someone occasionally producing a form. For infrequent use, a suitable surface outside the immediate desk area may work well. Test a wireless connection at the proposed location; a Wi-Fi label on the package does not establish a reliable connection there.
Store paper dry and according to the machine and paper manufacturer's instructions. A small supply near the printer may be sufficient while spare packs remain elsewhere. Keep the output area clear so completed pages do not disappear beneath other objects. Finally run a complete sequence from loading paper to filing the result. Only then can you tell whether the apparently compact position also works as a usable equipment area.
